Generative AI Policy
Policy on the Use of Generative AI and AI-Assisted Technologies
Introduction
EJMN recognises the rapid development of generative AI and AI-assisted technologies ("AI tools") and their potential to support researchers in drafting, formatting and refining their work. The journal is committed to publication ethics and research integrity. In line with COPE guidance, this policy sets out the permitted uses, restrictions and disclosure requirements for authors, reviewers and editors.
1. Policy for Authors
Permitted use and responsibility
Authors may use AI tools to improve the language, readability, organisation and clarity of a manuscript, or to assist with literature synthesis and brainstorming. These tools must never substitute for human critical thinking, expertise or original interpretation of data.
- Human oversight: AI tools are applied under strict human control.
- Accountability: authors are fully accountable for the entire content, including the accuracy, completeness and impartiality of AI-generated text, data and references (AI tools can invent citations).
- Data privacy: tools must respect confidentiality and intellectual-property rights, and unpublished research data must not be uploaded to public AI systems.
No AI authorship
AI tools cannot be listed or cited as authors or co-authors, because authorship carries ethical and legal responsibilities that only humans can bear.
Disclosure
Basic checks of grammar, spelling and punctuation need no disclosure. If generative AI was used in writing or manuscript preparation, authors must add, above the references, a statement titled "Declaration of Generative AI and AI-Assisted Technologies in the Writing Process":
During the preparation of this work, the author(s) used [NAME OF TOOL / SERVICE] in order to [REASON, e.g. improve text readability and structure]. After using this tool/service, the author(s) reviewed and edited the content as needed and take(s) full responsibility for the content of the final publication.
If AI tools were part of the research itself (for example machine-learning or simulation methods used for design, data collection or analysis), they must be described fully and reproducibly in the Methods section instead.
2. Figures, Images and Artwork
EJMN does not allow generative AI or AI-assisted tools to create, alter, enhance or manipulate images, graphs or figures in submitted manuscripts.
- Standard adjustments of brightness, contrast or colour balance are acceptable if they do not obscure, remove or change the meaning of the original data.
- Exception: AI imaging methods that are an intrinsic part of the research (for example computer vision or machine-learning research). The software name, version, manufacturer and use must then be described in the Methods section.
3. Policy for Editors and Peer Reviewers
- Reviewers must not upload manuscripts, abstracts or metadata into generative AI tools to produce reviews or analyse the text; doing so breaches the author's confidentiality and peer-review ethics.
- Editors must not use generative AI to write decision letters, evaluate papers or handle manuscripts. Human editorial judgement is required at every stage.
Policy Review
This policy was adopted in October 2026. EJMN monitors developments in artificial intelligence and publication ethics and will update it as needed.
